What is a residential roofing invoice template?
A residential roofing invoice is the final billing document you send a homeowner after a roof replacement or repair. It lists the scope of work performed, materials used, labor charges, disposal fees, and payment terms. A good invoice reduces disputes and speeds up payment.
When to use
- Final billing after a roof replacement or repair
- Progress billing on a multi-stage roofing project
- Cash-pay residential jobs (not insurance claims — use the insurance invoice)
- Warranty callback work where you're billing the homeowner directly
What's included
- Company header (logo, license #, insurance, contact)
- Homeowner details and job site address
- Invoice #, issue date, and due date
- Line items: tear-off, decking, underlayment, shingles, ridge, ventilation, flashing, disposal, labor
- Materials manufacturer + warranty info
- Subtotal, tax, deposit credit, balance due
- Payment terms and methods accepted
- Photo section for completion documentation
- Signature block for acceptance of completed work
How it differs from generic
- Includes roofing-specific line items (tear-off, ice & water, ridge vent) instead of generic 'labor / materials' rows
- Space for shingle manufacturer + warranty registration number, which homeowners will ask for
- Optional photo section — the #1 way to prevent 'you didn't do the work' disputes
- Deposit credit line built in — most roofing jobs collect a deposit at contract signing
Why a good roofing invoice matters
A roofing invoice is the last impression a homeowner has of your company before they write the biggest check they'll write all year. A clean, itemized, professional invoice does three things at once: it reduces disputes, speeds up payment, and generates the reviews and referrals that lower your cost of acquisition on the next job.
The invoices most roofing companies use — pulled from a generic Word template or built inside QuickBooks — are missing the fields that matter for roofing work. There's no line for tear-off separate from install. No manufacturer + warranty registration. No photo evidence. No spot for the deposit credit. Homeowners get confused, dispute charges, and stall payment for 30-60 days.
The template on this page is built specifically for residential roof replacements and repairs. It includes every line item a roofing job actually has, space for the warranty information homeowners ask for, and a photo block that prevents 'you didn't do the work' arguments.
The line items every roofing invoice needs
Homeowners don't understand roofing pricing, and lumping everything into 'labor / materials' invites questions. Break out the work so the price makes sense at a glance.
- Tear-off — priced per square, always a separate line from install
- Deck replacement — priced per sheet as-needed, disclosed at inspection
- Underlayment — synthetic or felt, per square
- Ice & water shield — priced per square, eaves and valleys
- Shingles — priced per square, with manufacturer + color noted
- Ridge cap + hip — priced per linear foot
- Ventilation — ridge vent, box vents, or power vent, priced separately
- Flashing — step flashing, counter flashing, and pipe boots
- Disposal — dumpster fee, hauled separately from labor
- Cleanup — magnetic sweep and site cleanup
Payment terms that actually get paid
The single biggest lever on your cash flow is the payment terms line on your invoice. 'Due upon completion' works for cash jobs. 'Net 15' with a 1.5% monthly late fee is the standard for anything else. Longer than net 30 and you're financing the homeowner.
Accept multiple payment methods. Check is fine but slow. ACH and card payments close in days, not weeks. If you're on URBLD, the invoice sends a pay-now link that runs through Stripe — most homeowners pay in under 48 hours.
Photo documentation and warranty registration
Include completed-work photos with every invoice. A wide shot of each elevation, a close-up of the ridge, and a picture of the cleanup completes the file and defeats 90% of disputes before they start.
List the manufacturer, shingle color, and warranty registration number. Homeowners will ask for this when they sell the house — having it on the invoice saves you a phone call two years from now.
Legal & compliance notes
- In most states, roofing invoices must list your contractor license number. Check your state's requirements.
- For jobs over your state's mechanics lien threshold, include a lien waiver reference or preliminary notice acknowledgement.
- Payment terms should be enforceable — 'due on receipt' or 'net 15' with a late fee clause protects you.

Frequently asked questions
Can I use this template for insurance jobs?
Use the Insurance Roofing Invoice template instead. Insurance jobs need Xactimate line items, RCV vs ACV breakdowns, depreciation, and supplement documentation that a residential cash invoice doesn't cover.
Do I need to include my license number?
In most states with contractor licensing (FL, TX, CA, NV, NC, and others), yes — your license number is required on all invoices and estimates. Even in states that don't require it, it builds trust and reduces dispute risk.
What if I take a deposit?
The template has a 'Deposit Received' line that credits against the total. Most roofing companies collect 30-50% at contract signing, then bill the balance on completion.
Do I need to send a paper invoice?
No. Homeowners under 60 prefer email or text delivery with a pay-now link. Paper is a slower path to payment. URBLD sends the invoice as both an email and a signed PDF.
How is this different from a generic invoice?
Generic invoices don't have space for shingle manufacturer, warranty registration, tear-off separate from install, or photo documentation — the four things that matter most on a roofing invoice.
