What paper is genuinely good at
It is instant. There is no login, no signal, no battery, and no interface between an idea and the page. On a loud site with gloves on, that matters.
Paper also carries no expectation of structure, which is why people record things on it that they would never open an app to enter.
What paper cannot do
It cannot be searched, cannot be in two places, and cannot be recovered. A single copy of the measurements is a single point of failure that travels around in a vehicle.
It also cannot trigger anything downstream. A note on paper does not become an invoice line without someone retyping it.
Where digital actually loses
Digital loses whenever entering information is slower than the moment allows. A form with twelve required fields will be skipped, and a skipped record is worse than a paper one.
It also loses when the tool assumes connectivity that the job site does not have.
A pragmatic position
- Capture in whatever form is fastest at the moment of truth, including voice.
- Make the durable record digital, because durability is where paper fails.
- Reduce required fields until capture is faster than paper.
- Never maintain the same record in both places.
